01 Why "we will just get the IT teacher to do it on WordPress" almost always costs more in the end
If you are reading this buyer guide, you are probably deciding between three buckets: a DIY builder (WordPress, Wix, Squarespace — sometimes with a "friend of the school" who does it for free), a boutique web agency, or a managed education-specialist service like Sitora. The instinct to save money with DIY is understandable. But over five years, the staff-time cost of running a DIY site usually exceeds the fee of a managed service — by a factor of 2 to 3×. This is why: (1) Whoever is maintaining the site (the librarian, the IT teacher, the principal's nephew) changes roles every 12–24 months on average. Every handover means 10–40 hours of training and usually a partial rebuild. (2) SEO, mobile speed, security patches, and plugin updates are invisible work that is almost never done on time — so a DIY site is slow, broken or hacked inside 18 months for 60% of schools we speak to. (3) The admission-season blitz (swap banners, launch a form, WhatsApp CTA) is urgent — if you have to book your IT teacher's time 2 weeks out, you have already lost.
02 Option A: DIY builder (Wix / WordPress / Squarespace) — who should pick this
Good for: (1) Very small preschools / playgroups with 1 teacher + <40 children. (2) Rural schools on a sub-₹40,000 total 5-year budget. (3) A founder who genuinely enjoys tinkering with websites in their free time and will still enjoy it 18 months later. Not good for: any institution that intends to actually use the website to get admission enquiries — because SEO and conversion design are separate skills from "knowing how to add a page in WordPress." If you are leaning DIY but unsure, open the full 2026 cost breakdown and add a staff-time line item at ₹500–₹800/hour for whoever is maintaining the site. Then compare the number you get against Sitora's Starter tier for preschools (₹9,000/yr, ₹4,000/yr from year 2). For most metro preschools the managed tier comes out cheaper by year 2. If you are running a preschool specifically, a Starter-tier managed site with a gallery-first layout and tour CTAs can double enquiries within 90 days — at a lower total cost than DIY once you factor staff time.
03 Option B: Boutique web agency — what to ask before you sign
Good for: (1) Schools with custom, one-off integration needs (e.g. custom existing SIS/ERP with no API) that need custom engineering. (2) Chains / universities with an in-house web team that will take over maintenance after launch. Not good for: 90% of K–12 schools and coaching institutes — because agencies are designed to launch projects and move to the next client. Ongoing updates are charged by the hour at ₹1,500–₹4,000/hour, so small tweaks (swap a banner, upload a result) become ₹15,000–₹50,000 invoices every month. If you are going with an agency, at minimum ask to see 3 CBSE or coaching institute websites they still maintain 2 years after launch. If they cannot show you any, that is a red flag. For a metro CBSE K–12, an agency quote in 2026 is usually ₹4,00,000–₹12,00,000 for the build + ~₹2,50,000–₹5,00,000/year retainer. Compare that against Sitora Growth (₹15,000/yr, ₹6,000/yr from year 2) on our pricing page and do the 5-year math — for most schools Growth beats agency on total cost by 70%+ while delivering better, faster support. See our CBSE landing page for the full checklist a K–12 should receive.
04 Option C: Managed education-specialist service (Sitora) — who it is built for
Education-specialist managed services (Sitora is one of a small handful globally) are designed specifically for the pattern: institutions who want a great website today, zero technical ownership forever, and a 24h turnaround on any small update the school needs, at a fixed predictable annual fee. This is almost always the correct choice for: (1) CBSE / ICSE / IB / state-board K–12 schools of any size. (2) Coaching institutes with result-season traffic (NEET, JEE, EAMCET, UPSC, CA, etc.) — where the website must survive huge traffic spikes and be updated multiple times in May/June. For a coaching example see our coaching institute page for the result-page and batch-landing pattern that drives registrations. (3) Preschool chains and premium standalone preschools (see preschool websites page for the gallery-first, tour-CTA pattern that works). (4) Any institution where the principal's time is better spent on admissions, staff or curriculum than on hosting, plugins and page builders. Within Sitora specifically, city and board pages are built-in SEO — for example in Delhi / NCR, Mumbai / MMR, Bengaluru, Hyderabad / TS / AP and Pune / PCMC — you do not commission them separately. That is the big difference vs an agency: the patterns are already there.
05 Final 3-question decision test
If you answer yes to 2 or 3 of these, pick a managed service: (1) Do you expect the website to actually produce admission enquiries, not just "be there"? (2) Will the person maintaining the site today still be doing this job 24 months from now? (3) Is saving ₹2,00,000/year worth risking 20–30 admission seats because the site is slow, out-of-date or hacked? If you are still unsure, the lowest-risk test is a free preview from a managed service like Sitora — it takes 48h, costs nothing, and lets you compare what the finished product actually looks like against a DIY or agency plan before spending any money. And if you ultimately go DIY, you still walk away with a concrete reference plan.
